Rental Policies & Procedures
The Reservation Request Form is used to request space only. Once your form is submitted, Friends staff will review your request and follow up to confirm availability, dates, and any related logistics. When applicable, a facility use permit will be sent to you for signature. Your reservation is not finalized until the signed permit has been returned and confirmed. Thank you.
Technical Support
- Our technical team will review the information you provide and determine the appropriate audio-visual support, equipment, and format for your program. We are committed to helping your program look and sound as polished, professional, and seamless as possible.
- Please note that separate advance test runs are not available. However, we are typically able to build in day-of-show load-in, setup, and soundcheck time for presenters before doors open, provided this is requested in advance as part of your space request.
- To ensure we have the information needed to prepare, a Technical Advance will be emailed to you prior to your program to coordinate technical details. You or your guest(s) may be asked to submit media, presentations, or other materials in advance.
Schedule Changes & Cancellations
- To request a change to your event date and/or time, please contact Friends to confirm availability. We will make every reasonable effort to accommodate requests; however, last-minute changes cannot be guaranteed.
- If your event is canceled, please notify Friends as soon as possible so we may update our schedule and release the space for other users.
Facility Use Policies
- The Community Center of Boca Grande is closed on Sundays and Lee County-observed holidays, except for lease holders.
- All individuals and groups are responsible for leaving the space in the same condition in which it was found. Additional fees may apply if the space requires extra cleaning, resetting, or repair.
- If tables, chairs, or other equipment are needed, please include those details in your space request so we can plan accordingly.
- Smoking is not permitted.
- Alcohol is not permitted unless the appropriate permit and insurance are secured at least six weeks prior to the event.
Additional Notes
- Friends reserves the right to relocate scheduled activities to another room on campus when needed to best accommodate all users.
- All applicants are responsible for following applicable Fire Codes, Lee County Ordinances, and Parks and Recreation policies.
- In the event of a hurricane or tropical storm watch/warning that includes Gasparilla Island, or if a State of Emergency is declared by Lee County Government, the Community Center of Boca Grande and its grounds will be closed, and all programs and events will be canceled.
